The TAA Museum Privacy Policy explains what personal information we collect, why we collect it, how we use and store it, and the choices you have.

  • The TAA Museum ("the Museum", "we", "us", "our") is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, how we use and store it, and the choices you have. It applies to visitors, tour bookings, 25 Year Club members, and newsletter subscribers.

2. What Personal Information We Collect

Depending on how you interact with us, we may collect:

  • Bookings & tours: name, phone number, email address, and payment details for the purpose of confirming and administering a booking.
  • 25 Year Club membership: name, contact details (email, phone, postal address), membership status, and payment details for the purpose of paying for your membership or renewal.
  • Newsletter subscribers: name and email address.
  • Website usage: standard technical data such as IP address, browser type, and pages visited, collected automatically via our website (see Section 7, Cookies).
  • General enquiries: any information you choose to include when contacting us (e.g. via a contact form or email).

We only collect information that is reasonably necessary for the purposes described in this policy.

3. How We Use Your Information

We use personal information to:

  • Process and confirm bookings, payments, and refunds
  • Communicate with you about your booking, visit, or enquiry
  • Maintain the 25 Year Club membership list, including membership renewals, member communications, and event invitations
  • Send newsletters and updates about the Museum, its exhibits, and events (only to those who have subscribed or are members who have opted in)
  • Improve our website and visitor experience
  • Meet legal, accounting, or reporting obligations

We do not use your personal information for any purpose other than those described here without asking you first.

4. 25 Year Club Membership List

If you are a member of the TAA 25 Year Club, we keep a record of your contact details so we can:

  • Maintain an accurate membership list
  • Send you member communications, renewal reminders, and invitations to Club events
  • Recognise your membership at Museum functions where relevant

Your membership details are only accessible to authorised Museum staff/volunteers who need them to manage the Club, and are not shared with third parties for marketing purposes. You may ask to review, update, or correct your membership details, or ask to be removed from the list, at any time — see Section 8.

5. Newsletters and Marketing Communications

We only send newsletters to people who have subscribed or otherwise consented to receive them (for example, by joining our mailing list or ticking a consent box during booking or membership sign-up).

Every newsletter or marketing email we send will:

  • Clearly identify the Museum as the sender
  • Include a working "unsubscribe" link or instructions for opting out

You can unsubscribe at any time by using the link in any newsletter, or by contacting us directly (see Section 9). We will action unsubscribe requests promptly.

6. Disclosure to Third Parties

We do not sell or rent your personal information. We may share limited personal information with trusted third parties who help us operate, and only for the purpose of that service, including:

  • Payment processors, to process bookings and payments
  • Email/newsletter service providers, to send newsletters and Club communications
  • IT and website hosting providers, to operate and maintain this website

These providers are only permitted to use your information to provide the relevant service to us, and not for their own purposes.

We may also disclose personal information where required by law, or to protect the safety of visitors, staff, or the public.

7. Data Storage and Security

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, including restricting access to membership and booking records to authorised personnel and using secure systems for storing digital records.

No method of storage or transmission is 100% secure, but we aim to use industry-appropriate safeguards for the size and nature of our organisation.

8. Cookies and Website Data

Our website may use cookies or similar technologies to help it function and to understand how visitors use the site (for example, via analytics tools). You can control or disable cookies through your browser settings; some parts of the site may not function as intended if you do.

9. Access, Correction, and Deletion

You have the right to:

  • Ask what personal information we hold about you
  • Request corrections to inaccurate or outdated information
  • Ask us to delete your information or remove you from the 25 Year Club list or newsletter list, subject to any records we're legally required to keep

This Privacy Policy is separate from our Terms and Conditions, which govern bookings, visits, and conduct on Museum premises.
